Data Handling Notice
This notice summarizes how H.O.R.D.E.™ expects customer and player data to be handled inside the platform. It is intended for schools, teams, athletic programs, and prospective customers reviewing the product after a demo.
Data Categories
- Staff user data: names, email addresses, roles, account status, password setup status, and tenant assignment.
- Player/team data: roster records, jersey numbers, positions, grade/year, notes, assignments, week links, and practice-related planning information.
- Football operations data: formations, formation slots, packets, practice scripts, imports, and related planning records.
- Film data: uploaded clips, markers, player tags, screenshots, Coaches Pen overlays, clip exports, and film notes when enabled for the tenant.
Access Controls
Access is role-based. Root administrators manage the platform, tenant administrators manage their tenant setup, and coaches/viewers receive access based on assigned roles. Tenant data should remain separated by tenant configuration.
Data Minimization
Customers should only upload data needed for coaching operations. Avoid adding sensitive information that is not required for roster, practice, formation, assignment, packet, or film workflows.
Minor Player Data
Because many players may be minors, customers should treat player information and film as controlled program data. Customers are responsible for confirming they have the proper school, district, league, parent, guardian, or organizational authority to upload and manage that data.
Transfers and Service Providers
H.O.R.D.E.™ may rely on hosting, email, storage, or other operational service providers. These providers are used to operate the platform and not to sell or market player data.
Retention, Export, and Removal
Customers may request help exporting or removing data. Some information may remain temporarily in backups, logs, or operational records as needed for security, troubleshooting, legal, or continuity purposes.
Recommended Customer Practices
- Use only authorized staff accounts.
- Remove users promptly when they leave the program.
- Limit film and roster access to staff who need it.
- Review player data before importing.
- Do not upload unnecessary sensitive personal information.
